1. Who we are
ClubGael gives GAA clubs a website and a club app for iPhone and Android. ClubGael is run by Derek Brennan, trading as DB Agentics, in Northern Ireland, UK.
If you have any question about your information, email hello@clubgael.com. Because our clubs are in Northern Ireland and Ireland, we follow both the UK GDPR (with the Data Protection Act 2018) and the EU GDPR.
2. Your club and ClubGael
Two different organisations are responsible for different information:
- Your club is in charge of its members' information. In legal terms the club is the "controller". It decides who can join its app, what is collected, who can see it and how long it is kept. If you want to know what your club does with your details, ask your club first (usually the Secretary or Registrar).
- ClubGael runs the system for the club. For club information we are the "processor": we only use it to provide the service to your club, following the club's instructions and our agreement with them.
- ClubGael is in charge of its own records. We are the controller for our own business information: club officers' account and billing details, and the details clubs send through the sign-up form on clubgael.com.
If you contact us about club information, we may pass your request to your club so they can deal with it, and we'll help them do so.
3. What information the app holds
| Type | What it includes |
|---|---|
| Your account | Name, email address and a password (passwords are stored in a scrambled form we can't read). |
| Your profile | Anything you or your club add, such as phone number, photo and emergency contact. |
| Roles and teams | Which teams you're linked to and your role, for example player, parent, coach or officer. |
| Children's profiles | Details of a child entered by their parent or guardian, such as name, date of birth, team and any medical or emergency notes the parent chooses to add. See Children. |
| Messages and photos | Messages, posts, comments and photos shared in the app, and reports made about content. |
| Payments | A record of what was paid, when, how much and whether it succeeded. Card details are handled by Stripe and are never seen or stored by ClubGael. |
| Bookings and fixtures | Pitch bookings you make, and fixtures and results (fixtures may come from Foireann). |
| Coach compliance records | Where a club uses this feature: records such as vetting and training dates for coaches, added by the club. |
| Device information | A notification token so we can send alerts to your phone, plus basic device and app version details. |
| Usage and security logs | Sign-in times, IP address and basic records of actions in the app, used to keep the service secure and fix problems. |
From the clubgael.com sign-up form
When a club asks for a free preview we collect the club's name and details, the contact person's name, role, email and phone, any crest and photos uploaded, the club's current website address, and the IP address and country the form was sent from.
4. Why we use it (legal bases)
- To run the service your club has signed up for: accounts, messages, fixtures, bookings, payments and notifications. For club data, the club decides its legal basis, usually its legitimate interests in running the club, or a contract with you as a member.
- To keep it safe and working: security logs, preventing misuse, fixing faults (legitimate interests).
- To deal with clubs as customers: handling preview requests, setting up the club, and billing (contract, or steps before a contract).
- To meet legal duties, such as keeping business and tax records (legal obligation).
- With your consent where we ask for it, for example phone notifications, which you can turn off in your phone settings at any time.
We do not sell personal information, and we do not use it for advertising.
5. Who we share it with
Your information is seen by your club's officers and members according to the club's settings and your role. We also use these service providers to run ClubGael. They only act on our instructions:
| Provider | What they do |
|---|---|
| Cloudflare | Hosting, database and file storage (including photos) |
| Supabase | Sign-in and account security |
| Resend | Sending emails, such as sign-in and club emails |
| Google Firebase | Delivering notifications to phones |
| Stripe | Taking card payments through each club's own Stripe account. Stripe handles your card details directly. |
| Anthropic | Powering the AI help assistant, and reading a club's public website during set-up |
We may also share information if the law requires it, or to protect someone's safety.
Where it is processed
Some of these providers process information outside the UK and the European Economic Area, for example in the United States. When that happens we rely on the legal safeguards the law allows, such as the UK and EU "adequacy" decisions, the EU–US Data Privacy Framework and its UK extension, or standard contractual clauses approved by the UK and EU authorities.
6. How long we keep it
- Club information is kept for as long as the club uses ClubGael, and in line with the retention settings the club chooses (for example, how long messages and photos are kept).
- If you delete your account, your account and profile are removed. Messages you posted in club groups may stay visible to the club unless the club removes them, and some records (such as payment records) may be kept where the club or we must keep them by law.
- If a club leaves ClubGael, we give the club a chance to export its data, then delete it within a reasonable period.
- Backups are overwritten on a rolling cycle, so deleted information disappears from them over time.
- Sign-up form details are kept while we deal with the club's preview, then deleted if the club doesn't go ahead.
- Business and billing records are kept for as long as tax law requires (usually six years).
7. Your rights
You have the right to:
- See the information held about you (a copy of it);
- Correct anything that's wrong (you can edit most of your profile yourself in the app);
- Delete your information. You can delete your account at any time in the app: Profile → Delete account, or by emailing us;
- Get your information in a portable form (an export) to take elsewhere;
- Object to or restrict some uses of your information;
- Withdraw consent where we rely on it.
To use any of these rights, contact your club or email hello@clubgael.com. We'll reply within one month. It's free.
8. Children
The ClubGael app is for club members and for parents and guardians. Children's details are entered and managed by their parent or guardian, not by the child. Parents can see, change and remove their child's profile at any time.
We ask clubs to collect only what they need for a child to take part safely. Please read our safeguarding page for how the app supports keeping children safe.
9. Cookies
The app only uses essential cookies and similar storage, to keep you signed in and keep the app secure. We don't use advertising or tracking cookies.
The clubgael.com website doesn't set advertising or tracking cookies. If a club fills in the preview sign-up form, those details are stored securely in Cloudflare's storage (Workers KV) so we can set up the preview. Our hosting provider, Cloudflare, may use strictly necessary cookies to protect the site from attacks. If you choose UK (£) or Ireland (€) prices, we remember that choice in a small cookie (cg_region) and in your browser's storage. To suggest the right prices, the site checks which country you're visiting from using Cloudflare's country lookup; only the country is used, and nothing is stored.
10. Security
We protect information with encryption in transit (HTTPS), encrypted storage at our providers, secure sign-in, and access limited by role so people only see what they should. Only a small number of people at ClubGael can reach club data, and only to provide support or fix problems. No system is perfectly secure, but if something goes wrong we'll tell affected clubs and the regulator when the law requires it.
11. Complaints
If you're unhappy, please tell us first at hello@clubgael.com and we'll try to put it right. You can also complain to a data protection regulator:
- UK: the Information Commissioner's Office (ICO), ico.org.uk/make-a-complaint, phone 0303 123 1113.
- Ireland: the Data Protection Commission, dataprotection.ie.
12. Changes to this policy
We'll update this page if anything changes and change the date at the top. If a change is important, we'll also tell clubs and show a notice in the app.
